Share and Manage Access to Emails (For Email Builders) - In Beta

Overview

Email creation is a team sport, but not every draft is ready for prime time. With Sharing controls, you can decide who can view, comment, or edit individual emails. Whether you’re co-creating with teammates or protecting sensitive work, it’s a faster, smarter way to collaborate with confidence.
Share an Email from the Dashboard

  1. Go to the Emails section.

  2. Locate the email you want to share.

  3. Click the ••• (Actions) icon

  4. Select Share.

  5. In the Share modal, choose from the following:

Option

Description

Only me

Restrict the email so only you (the owner) can access it. Ideal for embargoed or draft content.

Specific users or groups

Share with individuals or groups who have access to the same library. They’ll be able to collaborate based on their role permissions.

Everyone in [Library Name]

Open the email to all users who have access to the library. Great for general collaboration and team visibility.

The current visibility setting is shown in the Share modal and changing the setting will update access immediately

Share an Email from the Builder

  1. Open the email you’re working on.

  2. Click the Share button in the top-right corner.

  3. Choose from the same three visibility options as described above.

Access and Permissions

  • You can only invite users or groups that are part of the email’s library.

  • Roles dictate what each user can do. For example:

    • Email builders can edit emails directly

    • Reviewers can only view proofs so sharing an email that does not yet have a proof will not be helpful for them.

  • If a group has no access to the library, it won’t be listed as an option.

Only the email owner can change visibility settings.

Changing Visibility

  • You can switch between sharing modes at any time.

  • If you previously shared a email with specific users or groups, and then change to “Anyone in the Library,” the individual access list is hidden (but preserved in case you switch back).

Visibility Indicators in the Dashboard Tables

  • Emails that are shared with others display a share icon in the dashboard.

  • Hover over the icon to see who has access.

Notifications

  • Users receive an email notification when an email is shared with them.

  • No notification is sent when an email is opened to the full library.

  • Removing someone from access does not trigger a notification.
