The Dashboard page in the Platform Settings section enables admin users to configure the views available to users in the dashboard experience.

Availability Notice: This feature is available upon request through your Customer Success Representative. For all new Stensul instances, this feature will be enabled by default.

Permissions

In order to access this section, the admin user must have the access_admin_users_management permission (included with Admin access in most cases) which automatically also includes the access_admin_dashboard permission.

Accessing the Page

You can access this page by navigating to Admin > Platform Settings > Email Dashboard.

On this page, manage the existing default view as well as create and manage custom views. Default views cannot be deleted but they can be hidden. Every Stensul instance is provisioned with three default views:

  • Draft Emails

  • Templates

  • Finished Emails

There is a soft limit of 97 custom views that can be created, for a total of 100 views. If you need to create more views in your account, please let us know and we can increase your account’s view limit.


Creating a New View

To create a new view, select the “Create view” button which will open a new modal (pictured below).

In this modal there are three key sections to complete:

  • View Name and Icon

  • Sharing Settings

  • View Filters

View Name & Icon

The first field to complete is the View name field. This name is what will appear in the user dashboard to represent this view. There is a 30 character limit.

To the left of this field is the view Icon field. This is a single-select drop-down field containing a chevron icon with five color options.

The default color option is white, and all color options are designed to be accessible for color blindness.

Sharing Settings

A view can be permissioned so that it is available to select users. When created, a view will be shared with all users of your Stensul instance by default

To restrict access to a view to only certain users, select “Specific user“ and then select the users who you would like to share access.

  • As an author, your name will appear first.

  • All other users will appear in alphabetical order.

  • You are able to either scroll or search by a user’s name

  • Once selected, all selected user will appear grouped at the top of the list in alphabetical order.

There is no limit to the number of users that can be selected while sharing a view. At this time, user groups is not a supported sharing option.

Share Options

  • Everyone: When shared with everyone, any user in your instance will see this view if they meet the filter requirements.

  • Single user: When shared with a single user, only this single user will be able to see this view.

  • Multiple users: When shared with multiple users, only those users will be able to see this view.

If a view contains a library filter, only users with access to that library(s) will see the view.


View Filters

Next, set the filters that you would like to be applied to this view. There are 9 available filter options. For any given view, a minimum of 1 filter must be set. However you are able to use as many filter options as you would like.

The filter options on this modal mirror the search filters on the dashboard itself. The search field applies the search query to the email, library, and user columns of the dashboard views. Saving the view definition here immediately updates the dashboard for users with access to the view.

If a view’s definition includes a library that the logged in user does not have access to, that view will be hidden.

Once all view setting have been set, select “Save” to create or update your view. You will see a success message appear.


Enabling / Disabling a View

A view can be set as either visible or hidden. This toggle option is available in each View row in the column labeled “Visibility“. When created, a view is set to visible by default. This means that the view is activated and it will be visible to users based on the sharing and filtering criteria that has been set.

To hide or deactivate a view, simply disable the toggle, and the view will no longer be active. You activate or deactivate a view at any time.


Configuring the View Order

The order of the views on the dashboard matches the order found in this Admin section. The view at the very top of the list will be the first view on the left and so on.

To re-order the list of views, simply click and drag the view to move the view higher or lower in the list.


Deleting a View

You can delete any custom view that you create. However default views cannot be deleted, they can only be hidden (Visibility: Disabled)

To delete a custom view, select the trash icon on the right side of the view row.

Once selected, you will see a confirmation modal appear.

  • To confirm your action, select Delete, and the view will be deleted.

  • To cancel your action, select Cancel, and the view will not be deleted.

Once deleted, you will see a success message appear.


View Configuration Examples

The views feature set enable admins to create flexible and versatile views that are tailored to their teams. Below are several example of how you can set up views for your team.

Global View Example

You can set up global views that are available to all users in your instance. When creating global views, it is important to be mindful of what libraries your team might have access to and what content is most relevant to them. Stensul’s 3 default views are global, pre-set views that cannot be modified. They have broad and simple filters that show draft emails, finished emails, and templates for the entire organization.

A popular global view that admin create is a view calls “My drafts“. You can set up this view with 2 filters:

  • Created by = Created by logged in user

  • Status = Draft

This view enables any logged in user to select the view and they will only see any of their draft emails and no one else's content.


Team View Example

You can set up team views that are available to select groups of users who might belong to a given team or group. These views can be set with a combination of filters that might include a library filter. You can also limit the view to only be shared with and visible by a select group of users. You can also create a set of views for each team that follows a certain workflow etc.

A view that you can create is for any email from a certain library to appear and for it to only be available to a certain selection of users.

  • Shared with = User A, User B, User C, etc.

  • Library = Library Sample 123

Views with these filters can enable only users with access to a specific library and on a specific team/group to have access to the view and they will only see any of their emails and no one else's content.
